Energy transfer document

When electricity or natural gas changes user, usually at a move, the outgoing customer and the new user jointly record the meter readings on the official energy transfer document. It is one common form of the three Belgian regulators (VREG, Brugel and CWaPE), in Dutch or French. ImmoHabits fills it in for you with the data already in the file: address, meter readings and parties. Creating the document is free.

You find it at the bottom of the Meter readings tab of the property details, and on the report page under Download. It only appears for properties in Belgium.

Preparing the document

Click Prepare document. A four-step check opens, pre-filled from the file:

  1. General: the language of the document (Dutch or French, preselected from the postcode), the form (classic, or with a production installation for anyone with solar panels), the handover date and the address.
  2. Meters: the meter type, the EAN code, the meter number and the readings for electricity, and the same data for natural gas. An exclusive night meter is added with the checkbox. This is also where you indicate a budget meter.
  3. Outgoing customer: pick a party from the file or enter someone else, for instance the departing tenant who is not in the file. Salutation, billing address and suppliers are completed here.
  4. New user: the same, plus whether the new user uses the energy as a tenant or as an owner.

Click Create document. You immediately see a preview of the completed PDF and can download it. Have both parties sign it, in two copies, and send a copy to the energy supplier(s).

Whatever you correct in the check (meter readings, parties or address) is also updated in the file, and changed meter readings in the latest report version too (see Meter readings). The file stays the single source, and the condition report and the energy transfer document are guaranteed to show the same figures.

Opening it again

If the document already exists, the button opens the preview right away, with the date it was prepared. Edit takes you back to the check. If the meter readings, parties or address changed in the file in the meantime, the check starts again at step 1 with a notice, so you review the new data before creating the document again.

The “Read and approved” line stays empty on the PDF: whoever signs on paper writes it next to their signature.
