Digital signing

With Digital signing you have the property inventory legally signed by all parties, fully digitally. Signing runs through our partner OK!Sign (a Belgian provider of qualified digital signatures); you simply work from ImmoHabits.

You start a signing round from the report page via the Sign button.

What do you need?

  • The parties of the file are filled in (via Edit property). Each party signs on its own signature box in the document, so who signs follows directly from the file.
  • An up-to-date PDF of the report. If it is missing, or the report changed afterwards, you generate the PDF right from the signing window.
  • No review round is still open: complete or cancel it first.
Want the inspector to co-sign? Set that per file on the Dossier tab (“The inspector co-signs the report”). The inspector’s signature box then appears in the document and in the signing round.

Composing the signing round

  1. Check each signer’s e-mail address (required) and mobile number (optional, but required to be able to sign via SMS).
  2. Choose the method per signer: standard (signing with finger, mouse or stylus, or via an SMS code) or itsme (identity-verified signature via the itsme app).
  3. Choose how to send and send off.

Sending options

  • By e-mail: every signer receives an e-mail with a personal signing link, sent in your office’s name, with your office logo if one is set up with us. Anyone who has not signed yet automatically gets a reminder after 3 and after 6 days.
  • In person on this device: no e-mails; the parties sign one after the other on your device. Ideal with the mobile app on an iPad, for instance at the key handover.
Via Preview the PDF to be signed in the sending step you open exactly the document that goes out to the signers, so you are sure everything is right before sending.

Cost

A signing round costs 1 token. If a signer chooses itsme, add 1 token per itsme signer. The total cost is always shown upfront in the signing window.

Following up and completing

After sending you follow everything from the same window:

  • You see each signer’s status (invited, signed, …), which updates automatically the moment someone signs.
  • While the round is running you can cancel it; tokens are refunded if nobody signed yet.
  • Once everyone has signed, the round is complete and the Download signed PDF button is ready. You also receive a confirmation e-mail.

Changed the report afterwards? Just start a new signing round with the updated PDF; previously signed documents remain available.
